Job Description

We are looking for an experienced Personal Assistant/Executive Assistant to join a diverse team based in Auckland CBD. This is a 5-month temporary assignment. You’ll be working across one of Auckland’s largest performing arts and events organisations.

Specific:

  • Full time, Monday to Friday
  • Payrate – $35ph+ (depending on experience)
  • Offices based in Auckland CBD, flex work from home
  • 28th of January start – end of June


The role:

You will spearhead the planning and delivery of business services, systems and projects; act as the fulcrum of collaboration between diverse teams; and provides operational advice, oversight and leadership.

In this role you will:

  • Managing diaries, schedules, coordinating meeting, and providing hight level administrative and business support.
  • Coordinate and provide senior office administration, and support efficient internal and external meeting processes.
  • Draft responses to correspondence, flag key actions, and, when necessary, attend meetings on behalf of management
  • Assist in developing new initiatives, including administrative coordination, research, stakeholder engagement, and communication.
  • Develop and maintain efficient systems, processes, and standards to ensure solutions meet organizational needs.
  • Foster positive relationships within the organization and with external partners, employing conflict resolution and negotiation skills to achieve key objectives.


About you:

We are we looking for:

  • 3-4 years’ experience in a relevant PA/EA or in a high-level administration role
  • Highly developed personal resilience with the ability to lead, adapt and deliver within a constantly shifting environment.
  • Excellent communication skills, written and verbal.
  • Experience in the public sector would be highly advantageous.
  • Highly organised – plans and priorities well and manages time to focus self and others on important tasks.
  • Accurate minute taking
