Job Description

The Role:

As the Operations Assistant to the CEO, COO, and Senior Leadership team at NZAB, you will be
instrumental in ensuring the smooth operation of the executive team and the wider business, while
also supporting them in executing the business strategy. You will be responsible for providing high-
level support across various functions of the business, including HR, finance, marketing, and general
administration. This role offers significant room for growth and the opportunity to take on additional
responsibilities over time.

Core responsibilities:

  • Provide exceptional executive support to the CEO, COO, NZAB Board and senior members of the business.
  • Diary and email management for the COO.
  • Prioritise work, continuously monitor workflow and meet tight deadlines.
  • Organise and execute both local and national events.
  • Liaise and manage internal and external key stakeholders.
  • Implement travel plans and coordinate bookings/itineraries for the Senior Leadership team, Board and the wider business. 
  • Oversee and manage various aspects of the business's marketing functions. This will include creating content, managing HubSpot, NZAB website and various digital marketing platforms. 
  • Manage and take full ownership of the business's HR functions. 
  • Assist with finance functions such as Xero reporting and provide support to the CFO.


What you will offer:

  • Proven experience as an Executive Assistant or in a similar administrative role, preferably in the finance or advisory sector.
  • Good judgment, excellent communications and stakeholder management skills.
  • A can-do attitude, excellent communication, planning and organisation skills, the ability to prioritise workloads and navigate conflicting requirements will enable you to effectively manage and deliver results.
  • Ability to work autonomously and have a proactive approach with exceptional attention to detail.
  • Ability to handle sensitive information with confidentiality.
  • Intermediate to advanced skills in MS Office suite, marketing platforms, CRM and ideally financial reporting platforms such as Xero. 
  • You will leverage your creative skill set to contribute to digital marketing and its execution.
