We’re a friendly, informal, and collaborative team based in Ponsonby (with parking!). As a property investment and development business specializing in commercial property, we are looking for a detail-oriented and motivated Accounts Administrator to join us on a permanent part-time basis (approx. 16 hours per week), with the potential to increase hours as the business grows.
In this key role, you'll be responsible for maintaining accurate financial records and supporting our accounting processes. You’ll need to have strong communication skills and the ability to build lasting relationships with clients. Previous experience in the commercial property sector and familiarity with Re-Leased property software would be a huge plus.
As part of our small team, you'll be involved in a wide range of tasks, including lease renewals, rent reviews, budgeting, invoicing, and reconciliation. You'll also occasionally coordinate property maintenance and liaise with tenants, contractors, and real estate agents.
Key Responsibilities:
General financial administration and ensuring accurate records of financial transactions (accounts payable and receivable)
Reconciliation of bank statements and other financial accounts
Monthly preparation of financial reports and statements
Process payroll and ensure compliance with tax regulations
Assist with budgeting, cash flow management, forecasting, and audit preparation
Data entry, filing, and invoicing
Maintain property and tenant information, including lease administration through Re-Leased
Oversee tax compliance and liaise with our external tax agent
Communicate with group lenders, ensure compliance with banking covenants, and assist with finance negotiations
Manage monthly development drawdowns
Provide financial reports and management updates to stakeholders
Skills and Experience:
Proven experience in a bookkeeping or accounting role
High attention to detail and numerical accuracy
Proficiency in Xero and Excel; experience with Re-Leased is a bonus
Strong understanding of financial regulations and tax compliance
Excellent problem-solving and analytical skills
Strong communication and interpersonal skills
Self-motivated, organized, and able to manage multiple tasks efficiently
Previous experience in property management, lease administration, or asset management is advantageous
Familiarity with commercial, industrial, or retail leasing is a plus
Ability to manage lease agreements, Opex reconciliations, and rent arrears
