Job Description

Bayleys is full-service real estate company renowned for their property management division who are committed to providing exceptional service to our clients and tenants. We are seeking a dedicated and skilled Tenancy Manager to join our dynamic team in Ashburton and Methven. This is a part-time role, offering flexibility of 20 -30 hours per week depending on the right person. If you're a proactive, customer-focused professional with a sharp eye for detail, we want to hear from you! While industry experience is preferred, we also welcome candidates with strong backgrounds in administration and customer service.



Job Purpose:

As a Tenancy Manager, you will assist in managing an established rent portfolio of properties under the supervision of a Property Manager. Your role will involve maintaining effective relationships with property management tenants, contractors, and Bayleys in-house staff.



Key Responsibilities:

  • Organising and conducting professional property viewings
  • Processing tenant applications, including reference checking and call-backs
  • Generating Tenancy Agreements, Bond Lodgements, and Automatic Payment forms
  • Managing viewings and property inquiries
  • Signing up Tenancy Agreements with tenants and conducting tenant handovers
  • Handling lease expiries, final vacate letters, and inspections
  • Managing lease breaks and lease renewals
  • Preparing initial condition reports with accompanying photos
  • Managing rent arrears and conducting final inspection reports
  • Overseeing maintenance and repairs, and loading work orders for maintenance
  • Creating and updating online advertisements
  • Handling inbound and outbound phone calls and emails
  • Owning tenant relationships and addressing all tenancy-related matters
  • Performing other administrative tasks as required
  • Providing coverage for the Property Manager during their leave


Skills and Qualifications:

  • Strong administrative writing skills
  • Excellent scheduling and organizational abilities
  • Proficiency in Microsoft Office, website, and Google searches
  • Effective time management and presentation skills
  • Strong verbal communication and conflict resolution skills
