Are you the one?

As the Executive Assistant to our CEO and other executives , you will play a critical role in ensuring their effectiveness and productivity. The ideal candidate will have excellent organizational skills, and the ability to manage multiple projects and executives' schedules simultaneously.

Your responsibilities will encompass a range of administrative and strategic tasks, with a focus on managing presence at various events and conferences and facilitating their networking activities.

Responsibilities:

Calendar Administration:

  • Prioritize and schedule meetings, appointments, and commitments for multiple executives.
  • Coordinate travel arrangements, including booking flights, accommodations, and ground transportation.
  • Ensure the executives are well-prepared for all engagements.
  • Coordinate with internal and external stakeholders to ensure smooth scheduling and communication as well as resolve scheduling conflicts and make necessary adjustments in a timely fashion.


Administrative Support:

  • Assist with managing the C-suite executives' personal commitments and provide support for personal tasks and errands as needed, including scheduling appointments, while maintaining strict confidentiality and exercising discretion when handling sensitive information.
  • Handle paperwork, document preparation, and file management as needed.
  • Prepare briefing materials, presentations, and other necessary documents for events and conferences.
  • Manage and organize invoices, expenses, and reimbursements.
  • Assist with general administrative tasks to ensure the smooth operation of the C-suite office.


Event and Conference Management:

  • Research and identify relevant events and conferences for the C-suite executives to attend.
  • Proactively manage calendars to ensure their attendance at key industry events, conferences, and meetings.


Networking and Relationship Building:

  • Build and maintain a strong network of contacts to facilitate connections and introductions.
  • Arrange meetings and interactions with key individuals in the C-suite executives network.
  • Assist in nurturing and expanding the C-suite executives' professional relationships.


Skills and requirements:

  • Proven experience as an executive assistant or in a similar role, supporting multiple executives.
  • Excellent organizational and time-management skills, with the ability to manage multiple priorities.
  • The candidate should be fluent in Mandarin and able to assist other executives during their travels within the APAC region.
  • Exceptional communication and interpersonal abilities.
  • Discretion and ability to handle sensitive information with confidentiality.
  • Proficiency in office software and calendar management tools.
  • Strong problem-solving and decision-making skills.
  • Ability to work independently and take initiative when necessary.
  • Flexibility and adaptability to work in a fast-paced, dynamic environment.
