Job Description

Kōrero mō te Tūranga - About the Role

We have an opportunity for an Executive Coordinator to join our team and provide executive support to our busy Director of Aquaculture. The Aquaculture Directorate within Fisheries New Zealand has a complex and varied work programme, and the Executive Coordinator plays a vital role in managing limited time effectively, fostering relationships, coordinating our activities, and meeting key reporting requirements.

The Aquaculture Directorate is a friendly and welcoming group – all our achievements require a team MPI approach, so we focus on working well together and with others across the organisation. If you have a passion for marine life, this is the role for you! This is a fixed-term part-time position (up to 0.6 FTE). Ideally, the 24 hours per week will be spread across three to five days. However, we're open to other work schedules for the right addition to our team.

Mōu - About You

We're looking for someone who can do more than just execute administrative tasks. You'll be a pivotal part of this team, and have a keen interest in the important work we do. You'll have experience in a similar role – providing executive support to a busy Director/third tier Senior Leader. You are an advocate for new ideas and smarter ways of working with the ability to multitask and adapt to changing priorities in an environment where no two days are alike. You'll be capable of building good working relationships and trust with colleagues and key stakeholders. You'll quickly acquire a reputation for acting with initiative, and your ability to think on your feet will give confidence that you will successfully manage multiple priorities and deadlines. Your energetic, can-do attitude and ability to change gears in response to the ebb and flow of a busy and regionally diverse Aquaculture Directorate will ensure you always remain across the work of a super industrious Directorate. Your eye for detail and written and verbal communications skills will be second to none.

Additionally, you'll have:

  • Computer literacy skills including advanced MS Office skills, effective use of mobile technology and intermediate knowledge of document management and reporting systems
  • Experience in designing, operating, and continuous improvement of quality office systems
  • Knowledge of and experience in management reporting processes including financials
  • Skilled in preparation and organisation of reports, letters, presentations, and other documents
  • Experience in problem solving using sound judgement

Mō tō mātou Rōpū - About the Team

The Aquaculture Directorate is spread across the motu, however most are split between Nelson and Wellington. This Directorate includes the Aquaculture Settlement team, and the Aquaculture Development team. Within these teams is a mix of smart, galvanised kaimahi who work collaboratively, with a diverse mix of backgrounds including science, commercial, and policy. And the Director you'll be supporting? She is purpose driven. Important to her is seeing the team reach their potential and the potential of aquaculture in New Zealand while realising the aspirations of the recent redevelopment of Fisheries NZ's aquaculture plan.
