Position Overview
Client Services Administrator – Psychology Clinic
Join the dynamic team at Massey University’s Psychology Clinic and play a key role in supporting the financial and business operations of our mental health service and clinical training centre. Based at our Wellington campus, this position supports work that spans the full human lifespan and contributes directly to the wellbeing of our communities.

As the Client Services Administrator, you’ll be at the heart of the Clinic—welcoming clients, coordinating appointments, supporting clinical staff and interns, managing records and contracts, and keeping things running smoothly behind the scenes. It’s a fast-paced, people-focused role that blends administration, finance, and service with purpose.

What you’ll be doing:

  • Acting as a key point of contact for clients, students, and external agencies (e.g. Universities, non-profit organisations, Te Whatu Ora).
  • Managing client bookings, clinical records, and appointment diaries.
  • Managing finance – invoices and billing.
  • Providing high-quality administrative and financial support to the Clinic Director and team.
  • Supporting business cases, funding proposals, and compliance reporting.
  • Organising and supporting events – guest speakers, teaching programmes, course events
  • Coordinating clinic placements and pastoral support for student interns.


What we’re looking for:

  • A tertiary qualification in business management or mass communication.
  • Proven experience in administration and customer service—preferably in a university setting.
  • Strong understanding of financial management principles and budgeting processes.
  • Proficiency with Microsoft Office (especially Excel and Word) and database systems.
  • Experience of Indici (electronic record system) (preferred)
  • Excellent communication and interpersonal skills, with cultural competence and a client-centred mindset.
  • Great time management, initiative, and attention to detail.


Salary range for this position is $48,036 – $63,675 (2024) and will be based on skills and experience.
