We are seeking a highly organized and proactive Executive Assistant to support the General Manager by managing administrative tasks, scheduling, and event coordination. The ideal candidate will be detail-oriented, possess excellent communication skills, and thrive in a fast-paced environment. This role involves handling confidential information with discretion while ensuring efficient day-to-day operations.

Key Responsibilities:

Administrative & Scheduling

  • Manage calendars and schedule meetings, appointments, and conference calls.
  • Coordinate travel arrangements, including flights, accommodations, and itineraries.
  • Prepare meeting agendas, take minutes, and follow up on action items.
  • Handle email correspondence, phone calls, and document filing.


Reporting & Documentation

  • Compile reports, presentations, and spreadsheets as required.
  • Maintain and update company records, databases, and personnel files.
  • Assist in drafting internal communications, memos, and policy documents.


Event Planning & Coordination

  • Organize company events, conferences, and staff training sessions.
  • Arrange venues, catering, and logistics for meetings and events.
  • Support with internal team-building initiatives and corporate functions.


General Support & Office Management

  • Assist in onboarding new employees, ensuring all necessary paperwork is completed.
  • Provide general administrative support to senior staff as needed.
  • Familiar with general ERP systems.


Required Core Skills & Competencies:

  • Proven experience as an Executive Assistant, or similar administrative role.
  • Strong organizational and multitasking abilities.
  • Work efficiently both as a team or independently.
  • Excellent verbal and written communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and scheduling tools.
  • Ability to handle sensitive information with confidentiality and discretion.
  • Problem-solving mindset with a proactive approach.
  • Strong attention to detail and ability to meet deadlines.


Preferred Qualifications:

  • Experience in event planning or project coordination.
  • Implementing systems or project coordination.
