About the role
Join our dedicated Operations Support team at Hutt City Council as an Administration Coordinator. This full-time, 6-month fixed-term role, based at War Memorial Library in Lower Hutt, and working one day a week from Pelorus Trust Sports House, offers you the chance to make a real difference in our community. You'll be at the heart of our operations, providing essential business and operational coordination and administrative support, to ensure the successful delivery of services that benefit our communities.

What you'll do

  • Administrative and operational support: Manage office operations, manage bookings for community halls, reception and facility coordination, documentation preparation, support staff events, support with internal communications, and community funding initiatives.
  • Financial Administration: Raise and receipt purchase orders, ensuring timely and accurate payments, monitor adherence to procedures, and provide training as needed.
  • Data and Reporting: Provide reporting and trend analysis on business activity, including usage of collections, facilities, programmes, revenue, and community engagement feedback.


About you
We're looking for a proactive, results-driven and adaptable individual with:

  • Experience working in a fast-paced administration/office, customer service or IT environment, managing multiple priorities and concurrent deadlines.
  • Proficiency in Microsoft Office (especially SharePoint and Excel) and familiarity with financial management software, ideally TechOne.
  • Strong written and verbal communication skills, with a proven ability to use initiative, sound judgment, discretion, and maintain strict confidentiality.
  • Demonstrated expertise in building and managing stakeholder relationships, both internally and externally.
  • A current full driver's license.
