About the Role - Kōrero mō te Tūranga

We are seeking an experienced Executive Coordinator to join the Business Support team which sits within the Programmes and Planning directorate of Policy & Trade. This directorate leads work on branch organisational strategy, programme management, regulatory stewardship, and capability.

As an Executive Coordinator, you will provide executive, diary and management support to two busy Directors, acting as a vital link between them, their teams, and the wider business. You'll make sure your Directors have what they need to carry out their responsibilities and focus on their priorities. You will also be an integral part of our broader Policy & Trade Business Support team who work together to ensure that effective administrative and logistical services are delivered across Policy & Trade.

As part of this role, you will:

  • Efficiently manage the Directors' schedules, ensuring alignment with their priorities
  • Facilitate the smooth running of the Director's office by providing administrative and logistical support and managing the workflow.
  • Liaise with Ministers' offices and other external stakeholders, establishing and maintaining effective working relationships.
  • Work flexibly and collaboratively with other Executive Coordinators and the broader Business Support team to ensure that support for Policy & Trade is delivered effectively.
  • Identify any relevant system and process improvement opportunities within the Directorate and Branch.


About You - Mōu

This is busy and varied role where no two days are the same, so you will ideally be working in a similar role as an Executive Coordinator, Personal Assistant or Executive Assistant. You will be able to demonstrate extensive experience in offering exceptional support to senior management including strong interpersonal and communication skills, a solution-oriented approach, and a proven track record of establishing effective relationships.

You will also have the opportunity to showcase your collaboration and organisational skills to provide a high level of support to our business.

To be successful in this role, you will have:

  • A minimum of two years' experience as an Executive Coordinator, Personal Assistant, or , Executive Assistant, preferably within the New Zealand government.
  • Ability to prioritize, plan, organise and manage work in a fast-paced environment, with a strong understanding of business priorities;
  • Ability to proactively take initiative in identifying and resolving potential problems as you develop solutions.
  • Multi-tasking ability and flexibility to work in a dynamic environment
  • Ability to work under pressure and meet tight deadlines
  • Strong communication (both written and oral) and interpersonal skills to foster collaboration;
  • Experience in managing workflow and records management;
  • Strong understanding of MS Office products, e.g., Word, Excel, PowerPoint.


About the Team - Mō tō mātou Rōpū

This is a Wellington based role reporting to the Manager, Business Support and working alongside a team of Support Officers and two other Executive Coordinators. While you will report to the Manager, Business Support, you will work closely with two Directors and at times provide support to the wider Policy & Trade Leadership team.
