The Tararua Alliance is a unique partnership between Tararua District Council and Downer NZ, established to manage the Tararua district’s transportation and 3-waters reticulation infrastructure in a collaborative, single-team approach. Our vision is ‘Leading through Collaboration’ and we are striving to deliver best in class services for Tararua communities.
We are now looking for an Alliance Administrator to join us. You will work as part of the Alliance Support Services Team to ensure administration functions within the office are carried out to a consistently high standard and that we are meeting the expectations of our internal and external customers.
In addition to providing quality administration and contract support, the Alliance Administrator will play a key role in communications, ensuring effective engagement with both internal teams and external stakeholders. Reporting to the Alliance Support Manager, your day to day will include the following:
- Provide frontline reception service to clients and visitors
- Communication & Stakeholder Management: Managing web content, letter drops, and stakeholder and contact databases as well as handling emergency communications through successful completion of Civil Defence Public Information Management (PIM) training and active participation during critical events
- Manage and allocate all Tararua Alliance related CRM’s to the correct team to action
- Processing purchase orders, goods receipting, and Invoices
- Process electronic Daily Job records (EDJR’s), and salaried timesheets
- Management of meeting room bookings and catering
- Assisting with ordering of PPE, Stationery, Office Supplies Etc
- Data Entry into Various Spreadsheets
- Processing Permits, road closures, connection applications
- Assist with month end processes
- Provide other ad-hoc administrative support duties as required

To be successful in this role, you will bring with you:
- Experience using MS Office
- Preferable to have experience using JDE, SharePoint & RAMM
- Experience providing administration support, including data entry.
- Excellent verbal communication, ability to relate to people at all levels
- Prioritising, self and stress management skills
- Ownership and commitment
- Motivated, positive and outcome orientated
- Seeks challenges and question status quo with a view for improvements
- Desire to learn
- Competent typing skills
