He whakamārama mo te tūranga mahi | About the role:
As an Executive Assistant, you will provide high level executive support to the Chief Executive. Within this role, you will need to ensure efficient and effective running of their daily activities. You will be a key point of contact, handling high-level communications and ensuring smooth office operations.

Key responsibilities include:

  • Manage the Chief Executive’s busy schedule through diary management and emails, allowing them to focus on high-level operations, market engagement and Board
  • Professional and proactive frontline service for all enquiries and communications to the Chief Executive.
  • Supporting stakeholder engagement and fostering strong relationships within KiwiRail and externally.
  • Managing confidential and urgent issues with professionalism and discretion.
  • Developing systems to streamline executive support and efficiently track progress.

We’re looking for a proactive professional who excels in high-responsibility roles and values confidentiality, effective communication, and collaboration.

Ideal candidates will have:

  • 8-10+ years of Senior Executive Assistant support experience within a large corporate or government setting.
  • Willingness to go the extra mile by being available out of office hours.
  • Strong planning and organisation skills.
  • High level of integrity, including ability to treat confidential information appropriately.
  • Advanced proficiency in Microsoft Office (Word, Excel, PowerPoint).
  • Experience with Diligent Board Books and SAP Programmes.
  • Excellent knowledge of board and committee processes .
  • Strong relationship management skills, with the ability to collaborate across teams and with external stakeholders
