We have an exciting opportunity for a highly organised and skilled Office Manager to join our team at our central Auckland office. In this role, you'll take the reins and fully embrace the autonomy that comes with the role, delivering exceptional working environments for our people. In this role, you will play a pivotal part in ensuring the seamless operation and daily upkeep of all of Theta's five offices nationwide. You’ll be leading a small team of administrative staff across various regions as they handle essential tasks such as travel arrangements, internal meetings, purchase orders, training, exam bookings, etc. Additionally, you will provide crucial support to the senior management team by organising weekly management meetings, capturing minutes, and coordinating necessary follow-up actions.

You will work with our suppliers to provide Theta with safe and desirable offices to work in, whilst managing the budget to ensure value for money for Theta. You will play a key part in supporting our Health and Safety processes by monitoring and implementing them across the Theta offices. You will chair the H&S Committee meetings and take minutes, ensuring everything runs smoothly. Additionally, you'll manage our Policy schedules and collaborate with management to review, add, and update policies as needed.

We also look forward to your contributions in organising and supporting various initiatives and events, such as our end of year parties/celebrations, staff functions, office and social events, and special lunches to celebrate staff anniversaries. Plus, you’ll have the chance to take on ad hoc tasks as assigned by the CEO and Senior Management Team.

Due to the nature of this role, we expect 3 – 4 days working in the Auckland office.

Skills and experience | Ngā pūkenga me ngā wheako

  • Extensive experience in managing office facilities ideally multi location (5 years plus)
  • Positive and outgoing personality who loves working with a diverse range of people
  • Proven leadership experience in managing administration staff is essential
  • Management of suppliers and budgets for office
  • Experience with Health and Safety legal requirements and processes
  • Supporting a CEO and Senior Management team
  • Exceptional communication skills, verbal and written and good with numbers.
  • Time management & organisational skills to manage shifting priorities
  • Adaptable to change, uses initiative and can work independently, a multi-tasking guru
  • Sound knowledge of Microsoft Office including Word and Excel
