Job Description

The Personal Assistant (PA) will provide high-level, professional, and confidential administrative support to our Trust Chairperson, ensuring efficient management of their day-to-day operations. The PA will handle a wide range of tasks, including calendar management, communication coordination, meeting preparation, and project assistance, while maintaining a high level of discretion and professionalism.

Key Responsibilities:

1. Executive Support:
o Manage and maintain the executive’s calendar, including scheduling meetings,
appointments, and travel arrangements.
o Prepare and organize briefing materials, reports, and presentations for meetings.
o Prioritize and manage multiple tasks simultaneously with attention to detail.
o Handle confidential information with integrity and discretion.

2. Communication Management:
o Screen, respond to, and manage emails, phone calls, and correspondence on behalf
of the executive.
o Draft, proofread, and edit reports, emails, and other documents.
o Liaise professionally with internal and external stakeholders.

3. Administrative Support:
o Organize and maintain electronic and physical filing systems.
o Manage office supplies, equipment, and service providers.
o Process expense reports, invoices, and reimbursements accurately and promptly.

4. Project Coordination:
o Assist with project management tasks, including tracking deadlines, coordinating
deliverables, and following up with team members.
o Conduct research and compile data to support decision-making processes.

5. Event and Meeting Management:
o Coordinate logistics for meetings, conferences, and events, including venue booking,
catering, and technology setup.
o Take accurate meeting minutes and distribute action items promptly.

6. Travel Management:
o Organize complex travel itineraries, including flights, accommodations, visas, and
transportation.
o Prepare travel documentation and ensure compliance with travel policies.

Qualifications:
 Bachelor’s degree in Business Administration, Management, or related field (preferred).
 Proven experience as a Personal Assistant, Executive Assistant, or similar role (minimum 3-5
years).
 Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and office
management tools.
 Strong written and verbal communication skills.
 Excellent organizational and time-management abilities.
 High level of professionalism, discretion, and confidentiality.
 Ability to work independently and as part of a team in a fast-paced environment.
