Our Nelson based client is looking for an experienced, detail-oriented Accounts and Administration Manager to join their established Property Management team. If you're passionate about managing high-volume accounts payable, providing excellent administrative support, and helping streamline financial operations, we'd love to hear from you.
Role Overview:
As the Accounts and Administration Manager, you will manage our accounts payable, ensure timely processing of supplier invoices, and prepare monthly accounts payable schedules. You'll also be responsible for handling key financial processes, responding to inquiries, and supporting both internal teams and external clients in a fast-paced environment.
Key Responsibilities:
- Accounts Payable Management: Process high-volume supplier invoices into Xero, ensuring accuracy and compliance with company policies.
- Accounts Payable Schedules: Prepare and maintain monthly accounts payable schedules, ensuring all payments are made on time and all vendor balances are accurate.
- Bank Reconciliations: Complete bank reconciliations for all companies, ensuring accuracy and consistency.
- Tax Compliance: Prepare and action GST, Provisional Tax, and income tax as directed by the Company Accountant.
- Payroll & PAYE: Manage payroll processing and make PAYE payments on time.
- Customer Service: Respond to tenant, contractor, and supplier inquiries via email and phone, addressing any discrepancies or questions related to accounts.
- Debt Collection: Manage overdue accounts and handle debt collection efforts to ensure timely payment.
- Filing & Administration: Organize, file, and maintain financial documents and records as required.
- Financial Reporting: Assist with the preparation of cashflows, budgets, and accurate completion of operating expenses (OPEX).
- Prioritize Workload: Effectively prioritize tasks to meet deadlines and support team needs.
Qualifications:
- Extensive experience with Xero, particularly with high-volume invoicing and accounts payable.
- Proven ability to prepare and manage accounts payable schedules and bank reconciliations.
- At least 5 years of experience in accounting and administration.
- Strong understanding of payroll processing, tax compliance, and financial reporting.
- Ability to prioritize work, handle multiple tasks, and meet deadlines.
- Excellent written and verbal communication skills to interact effectively with tenants, suppliers, and internal teams.
- Strong attention to detail and analytical thinking.
- Proficiency with Microsoft Office Suite (Excel, Word).
