Te kōwhiringa | The Opportunity
Downer hold a long-term Asset Management and Facilities Management contract with the Department of Corrections and the Ministry of Justice that proactively manages and delivers to the national portfolio of facilities including 15 prisons, 98 courts and 141 community correctional sites.
Key Responsibilities:
- Support project managers with administrative tasks, scheduling, and coordination with project manager weekly
- Prepare and maintain project documentation, reports, and presentations where required with project manager weekly
- Assist in tracking project progress and update timelines, forecasts with project manager weekly
- Provide quality & accuracy checks on project documentation
- Maintain project files and ensure compliance with company policies and standards.
- Communicate with team members and stakeholders to ensure clarity on tasks and deliverables.
- Identify and address potential issues or delays proactively with project manager
- Support post-project evaluations and reporting, including lessons learnt workshops
- Provide training and support to project managers on the C&J DMM Project App once proficient
- Ad-hoc task as and when required

- Proven experience as a Project Administrator, Coordinator, or similar role.
- Strong organizational and multitasking skills can work under pressure.
- Good work ethics and willing to go the extra mile.
- Proficiency with MS Office Suite (especially Excel, Word, and PowerPoint); familiarity with project management tools (e.g., MS Project, Asana, Trello, or similar) is a plus.
- Excellent written and verbal communication skills.
- Attention to detail and problem-solving skills.
- Ability to work independently and in a team environment, good team player
- [Preferred] associate or bachelor’s degree or diploma in business administration, or related field.
