PhotoLife Studios is New Zealand's Leading School Photographers.

As our Operations Coordinator you will be tasked with being the start point of every one of our School's Photo Day journey. This is a full-time role for a dynamic and enthusiastic Operations Coordinator to ensure the smooth running of our bookings calendar in the North Island, including supporting the logistics of our photography team at a day-to-day level.

Your ability to be accurate and take pride in doing a job well with a "no mistakes" attitude is vital in this key role. You will need to be highly organised, efficient in managing your workflow, have excellent attention to detail and a warm, helpful customer service attitude.

What you'll be doing:

• Manage our bookings calendar for schools in the North Island, liaising directly with schools to set bookings dates for the next calendar year, optimising schedule to increase efficiency for Photographers and schools alike.
• Drafting of Photographer Allocations / rostering for bookings for approval, ensuring optimisation of travel time where possible and accommodating school requests.
• Coordinate travel arrangements for photography team for overnight stays etc.
• Supporting Commercial Director with scheduling changes to ensure seamless operation of all bookings as variables arise.
• Maintain accurate records and documentation within our CRM for all school contacts.
• Support operations team with ad-hoc administrative tasks as required.

You must have the following proven skills:

• Exceptional organisational skills and time management skills, with the ability to multitask and prioritise effectively.
• Strong communication and interpersonal skills, with a customer-focused approach
• Excellent attention to detail and accuracy across all tasks.
• Flexible and adaptable, our business requires some scheduling changes outside the normal 9-5, remote availability to ensure our logistics run smoothly is essential.
• Solid Computer & Excel experience is a must.
• Excellent spoken and written English

Experience in operations roles or reservations roles from hospitality, export and tourism industries will fit well within this role.

This is a permanent full-time role based in Auckland, however as we follow the school calendar, there maybe options for leave over school holidays and over the summer season.
