Job Description

Kōrero mō te tūranga - About the role

We are seeking an Executive Coordinator to join New Zealand Food Safety to support two directorates: Assurance and Food Science and Risk Assessment

You'll be providing executive, diary and management support for two of our Directors and you'll be an important connection between the Directors and wider business. You will also be an integral part of our broader New Zealand Food Safety Support team who work together to ensure that effective administrative and logistical services are delivered across NZFS.

As part of this role, you will:

  • Manage the Directors' daily schedules in line with their work priorities.
  • Facilitate the smooth running of the Director's office by providing general administrative and logistical support.
  • Coordinate corporate service management activities by assisting with budget, personnel and IT processes.
  • Work flexibly and collaboratively with other Executive Coordinators and the broader Support team to ensure that support for New Zealand Food Safety is delivered effectively.
  • Identify any relevant system and process improvement opportunities within the Directorate and Branch.

This is busy and varied role where no two days are the same. The ideal candidate will be able to demonstrate strong interpersonal and communication skills, a solution focused approach, and a proven ability to establish effective relationships.

In this role, you will have the opportunity to showcase your collaboration and organisational skills to provide a high level of support to our business. This position would suit a Support Officer, Administrator or Coordinator looking to further their career. The team will support learning opportunities across the branch and wider business.

To be successful in this role, you will be able to demonstrate:

  • Prioritisation, planning, and work management skills in a fast-paced environment – all based on understanding the key priorities of the business.
  • Good knowledge and experience in improving and implementing administration and business support systems and processes.
  • Strong communication and interpersonal skills to foster collaboration.
  • Experience of implementing electronic and physical records management.
  • Strong understanding of MS Office products, e.g., Word, Excel, PowerPoint.


This is a Wellington based role reporting to the Director, Assurance and Director, Food Science and Risk Assessment. You will work alongside four other Executive Coordinators and an Executive Assistant who support the other NZSF directorates and the Deputy Director-General respectively.
