We have an exciting opportunity to appoint a Group Services Administrator to join our busy team on a full time, permanent basis. We are looking for an experienced, efficient and collaborative team member to fill this role.

The purpose of this role is to provide administration support within a Department in Engineering Faculty. Ideally, you will have relevant administrative experience in a similar role within a large and complex organisation. Your ability to build productive relationships with internal stakeholders while managing expectations will be key to your success in this role.

Candidates with expert knowledge and experience of Student Services Online (SSO), the university LMS system (CANVAS), PeopleSoft, SharePoint experience and proficiency in Microsoft suite of packages will be strongly considered. Flexibility and collaboration will be key attributes of the successful candidate.

Key accountabilities include:

  • Assist with the production of teaching materials and lecture handouts.
  • Support academic staff in departmental management of postgraduate students.
  • Assist with the coordination of assessment and examination processes.
  • Confirm room requirements and staff availability, timetabling and curriculum requirements.
  • Provide day-to-day administrative support for teaching and learning activities, workshops, seminars and panels.
  • Liaise with internal and external personnel regarding organising a range of administrative requirements such as travel, events and communications
  • Provide administrative support as required for meetings, support workshops, seminars and panels for example related to faculty initiatives
  • Provide project-related assistance and management of specific projects
  • Work collaboratively to ensure continuous improvement and efficiency in Faculty and department administration processes
  • Provide general administrative support as required by the Group Services Manager and Team Leader


This is a full-time, 37.5 hours per week role on a permanent contract. The salary range is $55,300 - $69,600 per annum depending on experience and qualifications.

Our ideal candidate must:

  • Be tertiary qualified or have proven relevant experience
  • Have a good standard of computer literacy with knowledge of MS Office suites
  • Be able to work independently, using initiative to solve problems requiring judgement and interpretation of established information
  • Have excellent interpersonal skills, able to work with different cultures, excellent written and oral communication, and the ability to work flexibly and collaboratively as part of a team
  • Have outstanding customer focus, demonstrated through reliable and efficient service to stakeholders
  • Previous experience working in a tertiary environment will be viewed favourably.
