About the role
As part of a small business and team, the Office Administrator will play a pivotal role in ensuring smooth day-to-day operations and creating a welcoming experience for our community of book lovers. This role encompasses a blend of administrative tasks and provides essential support across office administration, finance, sales support, digital publishing support, and website management. This role serves as an anchor for the team, maintaining order in financial documentation, ensuring timely communication and logistics for book sales, and coordinating office systems with a high level of professionalism and efficiency. As part of a small business and team, you will apply a problem-solving mindset, pivoting as needed to deliver on the varied aspects of this role.

We’re seeking a detail-oriented, proactive individual who shares our passion for books, and who thrives in a dynamic, collaborative atmosphere while ensuring integrity and professionalism in all interactions - keeping the BWB kaupapa at the core. Your passion for books and quality delivery as a team player will be critical as you support many areas of our business. Responsibilities include

  • Office administration: Support the BWB team, demonstrating a ‘can do’ attitude, great customer service and strong attention to detail across a variety of general office duties.
  • Finance and sales support: Support direct sales and order fulfilment, coordination with our external finance team and support on invoicing, sales and royalties tasks, and reporting.
  • Systems administration: Effective and efficient system maintenance and organisation including database management, administering dispatches, website and digital content support.
  • BWB Collections and website support: Administer subscriber accounts to the BWB Collections, support marketing for BWB Collections and website development support.


Qualifications and experience

  • Ideally 3+ years office administration experience.
  • Experience within the publishing industry, or within a bookshop or library setting, preferred but not essential.
  • A general awareness of digital technologies relating to books and ebooks, including library or bookselling experience will be an asset.
  • Demonstrated experience in using Xero / experience in providing finance support will be an asset.
  • Demonstrated experience in providing sales support will be an asset.
  • A shared connection to our kaupapa/purpose, and a passion for books.
  • An understanding of what BWB does and who we are is essential.
  • An awareness and interest in Māori experience and history is important.
  • A proven team player; working with the team is critical for this role.
  • Previous experience in a small business setting.
  • Meticulous attention to detail and strong communication skills.
  • Demonstrated ability in quality delivery, meeting deadlines and follow through.
