He angitūtanga / The opportunity:

We are seeking to appoint an enthusiastic and dynamic Administrator with a high attention to detail, to operate as our central contact point supporting our business with administrative functions primarily involving our Healthy School Lunches in Schools Programme. This role is Permanent Full Time from 7:30am - 3:30pm, working 40 weeks per year according to school term calendar, which is great if you are looking for flexibility in the afternoons and over school holidays.

Ideally, the successful candidate for this role will be based in either Auckland, Palmerston North-Manawatu or Wellington, however we are open to exploring remote working possibilities throughout New Zealand for the right candidate as the position would mostly be working from home. This role can be busy, so time management skills will benefit the successful applicant along with having a laser sharp eye for detail is absolutely essential.

Ko o kawenga / Your responsibilities:

  • As the central communication point for customers nationwide you will use your excellent customer service skills to provide a professional service
  • Receiving, checking and processing critical changes to client databases ensuring absolute accuracy of data entry in a timely manner to ensure the safety of our customers, clients and ourselves
  • Directing, redirecting, investigating, ordering, fulfilling, booking, contacting, responding - you have to be able to take it all in your stride
  • Running reports in various software applications and distributing outputs to required internal / external sites on a daily basis and within strict timeframes
  • Liaising with internal stakeholders around student dietary requirements and communicating with schools, parents/caregivers in this regard
  • Interpreting and verifying information to provide clear and accurate order requirements for sites to manage production
  • Manage and upkeep of central documents including calendar of site closures, openings, events, availability; distribution lists; client contacts
  • Reconciling reporting at end of month against number of products provided, filling client invoicing templates
  • Ensure compliance with our Health & Safety, and Food Safety Programmes
  • Other data entry transactional operational tasks


He kōrero mōu / About you:

  • You are able to demonstrate your understanding of the value of the customer and are able to ensure they feel heard and appreciated
  • Previous data entry, co-ordination & administration experience including order processing, reports generation, database management and maintenance
  • Having prior experience in food production; commercial recipe / menu development or working culinary knowledge especially around allergen control & management is a huge benefit
  • The ability to manage multiple priorities and high-volume workload ensuring absolute accuracy in output
  • Excellent communication skills with the ability to maintain high service levels with competing priorities from both internal and external customers
  • Ability to problem solve, knowing when to raise the awareness of an issue or deescalate complaint feedback from customers
  • High level skills in Microsoft Office Suite, particularly Excel, PowerPoint, and outlook. Excellent literacy and numeracy skills, with attention to detail
  • A qualification in business management would also be a strong advantage
  • Ideally you would have been working for several years in an administration role and have some culinary knowledge and appreciation for food production.
