We are looking for an extraordinary Board Secretary to take on a fast paced business support role. a varied role encompassing Executive assistant tasks along with board event coordination this role is based in Auckland CBD and is with a large government organisation.

Key Points

  • Auckland CBD location
  • ASAP Start until for 12 weeks
  • $50 per hour +8% Holiday pay


You will be responsible for:

  • Develop and maintain the Board and Sub-committee meeting process from the agenda preparation phase to the final minute filing and debrief meeting phase.
  • Development of Governance Forward Planners and meeting workplans for the Board and all Board sub-committees.
  • Develop annual meeting schedules for the relevant financial year for the Board and all Board sub-committees.
  • Schedule all meetings in Director and the Executive Leadership Team calendars.
  • Develop of all meeting agendas.
  • Manage the meeting paper preparation and review process, ensuring all papers are received, formatting is correct as per company standards, the content is grammatically correct and that the content is clear, straightforward, and comprehensive, and check for spelling and typing errors.
  • Record and track actions and report progress at subsequent meetings
  • Manage public submission requests to the Board
  • Assist with Director onboarding and off-boarding, including development of new director induction programme
  • Download all signed minutes and meeting books from Diligent and save in the document management system
  • Manage the Diligent back-office, creating new committees, loading new users, setting permissions, and removing users, setting site properties


About you:

  • Experience as an EA or Board secretary
  • Diary management experience
  • You are an analytical individual with excellent problem-solving skills.
  • Excellent attention to detail
  • We are seeking an individual who can balance competing priorities via exceptional organisation skills.
  • Confident and able to use initiative.
