Job Description

About the Role:
We are seeking a highly organized and proactive Administrative Assistant to join our team.
This key role will provide general office support while also assisting the Managing Director in
day-to-day tasks. You will be responsible for ensuring smooth operations, assisting with
managing and tracking jobs in our system to ensure deadlines and projects stay on track.
Hours: 30 hours/week (10am – 4pm with flexibility)
Pay Rate: $28-34 per hour (based on experience)

Key Responsibilities:
 General Administrative Support:
o Manage office supplies and inventory.
o Handle communications, including phone calls and emails, in a professional
and timely manner.
o Organize, file and maintain both digital and physical files.
o Manage mail and packages.
o Assist in organizing internal meetings, company events, and team activities.
 Managing Director Support:
o Provide administrative assistance to the Managing Director, including
calendar management, scheduling meetings, and travel arrangements.
o Assist with preparing reports, presentations, and other business documents.
o Act as the point of contact for any Managing Director-related tasks and
ensure their workflow runs smoothly.
 Client and Visitor Interaction:
o Greet clients, visitors, and customers, providing assistance as needed.
o Handle client inquiries and ensure timely follow-ups.

Qualifications:
 Proven experience in an administrative role or similar capacity.
 Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
 Excellent organizational, multitasking, and communication skills.
 Ability to maintain confidentiality and handle sensitive information.
 Positive, professional attitude and the ability to work independently and as part of a
team.
