About the role:

We are currently seeking a Trades Administrator to join our Dunedin branch team. Reporting to the South Island Branch Manager, this role will provide administrative support to the Dunedin trades division. Your responsibilities will include:

  • Technician/Subcontractor Coordination: Allocate work to technicians and subcontractors for reactive, planned, and project tasks.
  • Work Management: Oversee PPM, reactive, and project works to final invoice for the South Island Region.
  • Admin Support: Provide administrative support for projects and minor works, including raising POs.
  • Timesheet Management: Process daily timesheets and leave forms for Dunedin-based trade staff.
  • PPE Management: Maintain PPE stock levels, allocate to technicians, and keep records.
  • Compliance Training: Book mandatory training, coordinate attendance, and maintain records.
  • Financial Management: Process receipts, time, and materials; populate and manage draft invoices; approve invoices and resolve work-in-progress queries.
  • General Branch Administration: Maintain office supplies, manage mail and couriers, schedule and record toolbox and other meetings, and perform general administrative duties as required. Some after-hours work may be required due to the 24/7 nature of the trades business.


About you:

  • A minimum of five years’ administration experience, ideally within a Trades or FM/Property environment.
  • Ability to manage multiple tasks and work to tight deadlines.
  • Team player.
  • Excellent communication skills.
  • Working knowledge of JDE or a similar financial package is essential.
  • Proficient in MS Office – Word and Excel.
