The opportunity:
Be part of something exciting! AIA House is currently undergoing renovations, and we’re set to move into our refreshed space in April. As our Workplace Community Assistant, you’ll play a key role in ensuring a smooth transition into the new environment while delivering exceptional experiences for our people and visitors. From managing the front desk to coordinating meeting rooms and supporting events, this dynamic role is perfect for someone who thrives on variety, takes ownership, and loves working with people.

This is a full-time, office-based role, Monday to Friday. Flexibility with hours may be required to support events and other business needs.

Key responsibilities include:

  • Playing a key role in the transition to our new premises, ensuring every detail is managed for a smooth relocation
  • Managing the front desk and supporting the coordination of events and meetings
  • Contributing to a positive office environment that fosters collaboration, energy and a sense of community
  • Overseeing security access, ensuring adherence to standards
  • Setting up, maintaining, and troubleshooting meeting rooms and breakout spaces
  • Managing car parking access and assisting with internal and external events
  • Supporting health, safety, and wellbeing initiatives, including building compliance and hazard identification.


Ideally, you’ll bring:

  • Proven frontline customer service experience—making every interaction count
  • Strong communication and relationship management skills, with a personable and professional approach
  • A proactive, problem-solving mindset and the ability to adapt to changing priorities
  • A natural knack for creating a welcoming and vibrant office culture
  • Exceptional organisational skills and ability to juggle multiple tasks
  • Confidence in using Microsoft applications such as Outlook, Teams, and Word
  • A high level of trustworthiness, attention to detail, and initiative.
