We have a great opportunity for a Vehicle Fleet Co-Ordinator to join our BYD and Nissan team in Epsom.
Our ideal candidate will come from a fleet / automotive background however full training and support is available for the right candidate.
You'll be responsible for managing the sales logs and processing of deals, preparing paperwork for registrations, processing credits, and managing the process of getting the vehicle ready. As you'll be working directly with clients coordinating vehicle drop offs and pick ups, and corporate lease deliveries - it is essential you have exceptional customer service and communication skills.

- Organizational Expertise: Essential for ensuring the smooth operation of fleet management activities, optimizing processes to guarantee exceptional customer service, and maintaining accurate and timely records of all vehicle-related transactions and data.
- Meticulous Attention to Detail: Demonstrates an unwavering focus on accuracy, ensuring that all vehicle deliveries, paperwork, and fleet documentation are completed thoroughly and on schedule, preventing errors and minimizing operational disruptions.
- Advanced Problem-Solving Abilities: Adept at quickly identifying and resolving issues that may arise during the vehicle acquisition, preparation, or delivery processes. Ensures minimal disruption by coordinating effectively with internal teams, customers, suppliers, and leasing companies to maintain seamless operations.
- Exceptional Time Management: Proficient in managing competing priorities and multiple tasks simultaneously, including scheduling vehicle deliveries, coordinating vehicle preparation, overseeing logistics, and ensuring all fleet-related activities are completed efficiently within tight timelines.
- Data Management and Analytical Expertise: Skilled in compiling and analyzing fleet performance data, preparing accurate sales agreements, processing purchase orders, and tracking financial transactions to ensure profitability. Demonstrates a keen ability to interpret data to inform decision-making and optimize fleet operations.
- Proficiency in Technology and Systems: Highly proficient in using Microsoft Word, Excel, and other relevant software tools for fleet management. Demonstrates the ability to quickly learn and adapt to new software and systems, ensuring seamless integration of technology into daily operations and enhancing overall efficiency.
- Vendor and Supplier Relationship Management: Maintains strong relationships with suppliers, leasing companies, and other external stakeholders to ensure timely procurement, delivery, and maintenance of vehicles. Ensures that all contractual obligations are met and manages ongoing communications to address any concerns proactively.
- Regulatory Compliance and Risk Management: Ensures that all fleet management activities comply with relevant industry regulations and company policies. Identifies and mitigates risks associated with fleet operations, including insurance requirements, vehicle safety standards, and maintenance protocols.
