Team Coordinator

If so, we have an exciting opportunity for a Team Coordinator to join the Community and Social Recovery team within the Tāmaki Makaurau Recovery Office at Auckland Council. Our office was set up to coordinate the Auckland-wide repair and rebuild efforts following the extreme weather events of early 2023, and our team was created to support and enable impacted individuals, whānau, and communities to lead their recovery.
About the role
As a Team Coordinator, you’ll help the Community and Social Recovery Team stay organised by ensuring smooth communication, coordinating tasks, and handling administrative duties efficiently. Your role will support the team’s operations, allowing the team members to focus on their core work while you manage key administrative responsibilities.
Key responsibilities
- Provide comprehensive administrative support, including scheduling meetings, managing calendars, preparing meeting materials, and more.
- Maintain team records and documentation, ensuring easy access to important files.
- Plan and coordinate team events, including booking venues, managing logistics, and arranging catering.
- Take accurate minutes, follow up on action points from meetings, and help team members complete their tasks.
- Support the team with reporting, including both qualitative and quantitative data.
- Assist with budget tracking, processing invoices, and managing expenses.
- Anticipate the needs of the team, staying ahead to ensure smooth operations.
- Adapt to the ever-changing, fast-paced environment with a “can-do” attitude.
- Handle sensitive information with discretion and integrity.
About you
You’re a highly organised and adaptable individual with at least 2-3 years of administrative or coordination experience. You excel in multitasking, prioritising, and problem-solving in a busy, ever-changing environment. You’re an excellent communicator and team player, bringing a collaborative attitude to everything you do. You also understand the importance of cultural awareness, particularly in relation to Māori, Pacific, and Asian communities.

- Strong organisational skills and the ability to manage multiple priorities simultaneously.
- Creative problem-solving abilities, especially in unstructured environments.
- Experience working in a dynamic, non-business-as-usual environment, embracing change and being able to work autonomously with minimal guidance.
- Proficiency in Microsoft Office Suite and the ability to quickly learn new tools.
- Ability to interact with a wide range of people and maintain open, effective communication.
- Ability to proactively recommend and implement process improvements to boost productivity.
- Cultural sensitivity, particularly in working with diverse communities.
