Step into Middle-earth and help create unforgettable experiences in one of New Zealand’s most iconic destinations. Hobbiton Movie Set is seeking a proactive and detail-oriented Events Assistant to support our Function & Event Coordinator in delivering seamless, high-quality events — from magical weddings and birthdays, to conferences, private functions, and large FIT gatherings.

As an Events Assistant, you’ll play a key role in the planning, coordination, and delivery of a variety of events. You’ll be the link between clients, internal departments, and suppliers by ensuring everything runs smoothly and that our guests experience the magic of Hobbiton from the moment they arrive. The role is both office based and on the ground assisting with the event,

Key Accountabilities:

  • Assist with end-to-end event planning and on-site delivery
  • Communicate with clients throughout the event planning process, including negotiating service costs within the client’s budget, understanding their needs and taking over communication after the sale is made
  • Liaise with internal departments to ensure seamless coordination and ensure event specifics are clearly communicated and understood. This includes leading pre-event briefings for all teams and departments involved in the event.
  • Create and maintain run sheets, costs are properly recorded for invoicing, seating plans, reports, and other event documents
  • Manage relationships with suppliers, ensuring timely delivery, setup, and breakdown of services
  • React quickly to any last-minute changes and keep the event on track
  • Ensure all health and safety paperwork (including JSAs) is completed and shared with the necessary parties


Skills and Experience:

  • Proven experience in event planning or a similar role
  • Strong organisational and multitasking abilities
  • Excellent communication (both Written and Verbal) and interpersonal skills
  • Detail-oriented with the ability to meet deadlines and deliver high-quality work
  • A “people person” with excellent manners and a high level of personal grooming
  • Proficiency in event management software and MS Office (Word, Excel, PowerPoint)
  • Ability to work both independently and as part of a team
  • Willingness to work flexible hours, including evenings and weekends, this is a must
  • Physically fit and able to move event-related equipment or materials
  • A full clean driver's licence (preferably a P endorsement, or willing to get this) as you may be required to drive guests down to the movie set and/or to and from their accommodation.
