Massey University’s Accommodation Service is looking for a dedicated individual to join our team and play a key role in supporting students as they transition into university life.

This role is located on our Albany Campus, Auckland.

About the Role:
As a Customer Services Administrator, you will be the first point of contact for prospective and current residents, ensuring they receive outstanding customer service. Your role will involve front-line service, application processing, administration, and ensuring a safe and supportive living environment for students in our halls, apartments, and studios.

Key Responsibilities:
Frontline Service

  • Provide a professional, welcoming, and responsive reception service across multiple communication channels.
  • Engage proactively with residents, offering assistance and referrals as needed.
  • Respond to service requests and ensure timely resolutions.
  • Maintain up-to-date knowledge of Massey Halls policies, agreements, and community guidelines.
  • Organise reception and common areas to maintain a professional and welcoming environment.
  • Participate in arrival and open days, assisting with accommodation tours.


Application Processing

  • Handle application inquiries and ensure accurate documentation.
  • Maintain and update application records for reporting and selection processes.
  • Support applicants through the reapplication process and follow-up communications.


Administrative Support

  • Coordinate mail distribution and maintain up-to-date administrative records.
  • Ensure Massey Halls’ branding and guidelines are reflected in all communications.
  • Assist in check-in/check-out procedures.
  • Support marketing and promotional material distribution.
  • Assist in processing charges.


Risk & Safety Management

  • Ensure compliance with operational legislation, including data protection and privacy.
  • Assist in emergency evacuations and report health and safety issues.
  • Adhere to the Code of Practice for Tertiary Education Accommodation and Pastoral Care of Students.


Bookings Administration

  • Manage bookings from initial application through arrival, ensuring smooth processing.
  • Allocate students to accommodation and liaise with the Residential Life team.
  • Process short-stay and group bookings, ensuring room readiness.
  • Manage room change requests and assist with invoicing.
  • Collaborate with Res Life and Facilities teams for room and hall preparation.


What We Are Looking For:

  • Strong customer service and communication skills.
  • Experience in an administrative or student services role.
  • Ability to multitask and manage competing priorities to meet deadlines.
  • Proficiency in Microsoft Office and CRM systems.
  • High attention to detail and problem-solving skills.
  • A passion for student support and community-building.


Qualifications and Experience:
Previous experience in administration, customer service, or front-of-house roles is advantageous.
The salary band for this position is $48,036.00 to $63,675.00 (NZD) based on skills and experience.
