Job Description
Kōrero mō te Tūranga - About the Role
This Administration Coordinator position is the backbone of our team. Complementary to our Veterinarians in providing important functions such as preparing export certificates, administrative support, and providing technical and operational advice, to facilitate our frontline Veterinarians performing inspections and verification of live animals and germplasm entering and departing New Zealand. This position is an integral part of assisting external stakeholders with operational and technical advice.
MPI Veterinarians are required to approve that the animals we inspect before or after their travels are compliant with Acts such as the Animal Products, Animal Welfare Act and Biosecurity Act.
The main duties of the Coordinator will be:
- A reliable facilitator between the variety of stakeholders, such as pet owners, other government agencies, and MPI teams
- Responding to queries from internal and external stakeholders, including members of the public, and directing them through the requirements needed to export or import relevant to their circumstances, proactively seeking information when required
- Facilitating allocation of work for MPI Vets, preparing the information they need prior to an inspection to support them
- Administration work such as invoicing, filing and maintaining local procedure for the office
- Supporting development of internal quality systems
- Management of security paper and official MPI official seals
- Additionally supporting the Certification Team in all administration coordination and other office support services, as required.
- You will be based at the MPI Christchurch Office, Monday to Friday 8am – 4:30pm.
All of the required training will be provided.

You will be a team contributor, proactive seeker of information, and have a willingness to learn!
You do not need any background in working with animals, exports, or imports, as long as you are reliable and proactive and are able to prioritise and make decisions under pressure.
To be successful in the role you will need:
- Demonstrable capability in the use of information technology including MS Office suite
- Excellent communication skills, verbally and in writing
- Demonstrable time management skills including organising and prioritising
- Being able to work collaboratively and independently within a team
- Experience of managing relationships including customers and internal/external stakeholders
- Experience in general administration and task management
Desirable:
Experience in a field with transferable skills and knowledge, such as administration, coordination, scheduling, logistics, regulation, certification, animal health, animal transport or similar
Mō tō mātou Rōpū - About the Team
Reporting to the Team Manager Live Animals, you would primarily work with Veterinarians and Coordinators from the Circuit and Certification teams. The teams have a great mix of personalities and cultures.
The Circuit team provides a range of functions and services including export for live animals and germplasm, inspection of imported live animals, and verification of live animal transitional and containment facilities in the Christchurch region.
The Certification team provides a range of food safety and biosecurity verification and certification services to support market access strategies for New Zealand.
