We have an exciting and unique opportunity for a motivated and experienced business support specialist supporting our Community Pools leadership team. We are looking for someone who can be a key connector for this team to keep across what is happening at each location and ensure the delivery of key admin tasks. This role is primarily based at Keith Spry Pool in Johnsonville and the WCC Head Office - Tahiwi when appropriate. There will also be opportunities to visit and work with team members across Community Pools in Khandallah, Thorndon, Oriental Bay, Karori and Tawa.
About the role:
This is a diverse role that oversees a range of responsibilities and in support of Amy, the Manager Community Pools. You have an opportunity to really influence and shape what the day to day looks like for this role.
Your work will directly support the Community Pools leadership team made up of the Manager Community Pools, and five Operations Managers who work across six community pools across Wellington (Keith Spry, Karori, Freyberg, Tawa and in Summer Khandallah and Thorndon) to ensure they are running efficiently and effectively. This team is full of passionate leaders who work hard delivering on their believe statement 'Safe spaces, awesome places' for the communities they serve.
Key activities you will be responsible for:
- Providing coordination and administration support to the community pools team including booking facilities and equipment, issue contracts, invoicing and raising purchase orders.
- Play a key role in supporting the Operations Managers with the recruitment of new lifeguards.
- Overseeing customer requests and communications through the management of shared inboxes and customer feedback channels.
- The coordination, monitoring and storage of regular reporting and auditing of key processes in support of the Community Pools Manager.
- Assisting the Operations managers with the co-ordinate training requirements for the wider team and ensuring accurate record keeping of the current for team members qualifications.
- Monitoring of both risk management and health and safety reporting to ensure a safe working environment is maintained across all locations in support of the Community Pools Manager.
- Working with the Digital Communications Specialist to ensure social media platforms are kept current and up to date with what is happening in our facilities e.g., news, events, announcements, vacancies etc.
We are looking to appoint between $59,987 - $70,572 per annum, for this role, depending on relevant skills and experience.

- Be an experienced administrator or coordinator who has experience supporting teams.
- Have excellent relationship management skills.
- Be comfortable to prioritise and manage one's workload when appropriate.
- Have strong attention to detail.
- Be adaptable and flexible to respond to team needs.
- Take pride in your work - "want to do it and do it well".
- Have an eye for process and system innovation to ensure we are all working efficiently.
- Be comfortable working in a dynamic environment with shifting priorities and locations.
